These Terms & Conditions (“Terms”) govern access to and use of the EstatePass website and platform. By using EstatePass, you agree to these Terms. If you do not agree, do not use the service.
1. Platform Overview
EstatePass provides digital tools for gated communities, including visitor invitations, QR verification, household management, estate dues tracking, notifications, reporting, and role-based administration. Accounts are provisioned by authorized Super Admins or Estate Administrators; public self-registration is not offered.
2. User Responsibilities
- Provide accurate account and operational information.
- Protect login credentials and notify administrators of suspected unauthorized access.
- Use EstatePass only for lawful estate management and security purposes.
- Respect the privacy of residents, visitors, and other users.
- Avoid sharing accounts across unauthorized individuals.
3. Estate Responsibilities
- Ensure administrators, landlords, and security officers are properly authorized.
- Maintain accurate house, household, dues, and visitor records.
- Configure estate settings responsibly, including branding, visitor rules, and communication preferences.
- Train gate personnel on proper verification procedures.
- Comply with applicable local laws related to security, data protection, and financial recordkeeping.
4. Visitor Verification
QR passes and visitor records are tools to assist estate security. Estates remain responsible for physical access decisions at the gate. Pass verification confirms digital authorization status within EstatePass and does not replace human judgment where estate policy requires additional checks.
5. Privacy
Use of personal data through EstatePass is also governed by our Privacy Policy. Users must process resident and visitor information only as needed for legitimate estate operations.
6. Payments and Dues
EstatePass may facilitate dues publication, payment evidence upload, and administrative review. EstatePass does not act as a bank or payment processor unless explicitly stated for a specific integration. Amounts, due dates, and approval decisions are controlled by the relevant estate administrators. Users are responsible for the accuracy of payment evidence submitted through the platform.
7. Acceptable Use
You may not:
- Attempt to bypass authentication, permissions, or security controls
- Upload malicious files, spam, or unlawful content
- Interfere with platform availability or integrity
- Use EstatePass to harass, defraud, or harm residents, visitors, or staff
- Scrape, reverse engineer, or misuse APIs except as authorized
- Create or approve visitor passes for illegitimate or deceptive purposes
8. Intellectual Property
EstatePass branding, software, documentation, and related materials are owned by EstatePass or its licensors. You receive a limited, non-exclusive right to use the platform for authorized estate operations only.
9. Limitations of Liability
To the fullest extent permitted by law, EstatePass and its operators shall not be liable for indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, goodwill, or business interruption arising from use of the platform. EstatePass is provided on an “as available” basis. Estates remain responsible for on-site security decisions and physical access control.
10. Termination
Access may be suspended or terminated if a user violates these Terms, poses a security risk, or if an estate subscription ends. Upon termination, rights to access the platform cease, subject to any legally required data retention or export arrangements.
11. Changes to These Terms
We may update these Terms periodically. Continued use of EstatePass after updates constitutes acceptance of the revised Terms. The “Last updated” date indicates the latest revision.
